Cancellation Policy – Tour Packages

We understand that plans can change. Our cancellation policy is designed to be fair and transparent:
 
30 days or more before arrival: 20% of the tour cost will be charged.
15 to 29 days before arrival: 30% of the tour cost will be charged (Gypsy safari costs excluded).
7 to 14 days before arrival: 40% of the tour cost will be charged (Gypsy safari costs excluded).
2 to 6 days before arrival: 50% of the tour cost will be charged (Gypsy safari costs excluded).
Less than 48 hours before arrival or in case of no-show: No refund.

Important: For any cancellations of Safaris and Tour Packages, you must notify us in writing at penchbooking@gmail.com.
Emails sent to any other address will not be considered valid or accepted.
 

Important Notes & Policies

Changes in Charges:
Any changes in government taxes, hotel charges, safari charges, or other costs will be communicated to you via email or phone before the travel date.

Safari Booking & Refunds:
In case your safari is not booked due to technical issues or non-availability of seats, we will refund the full amount to your bank account. This will be communicated to you accordingly.

Peak Season Bookings:
During peak seasons, weekends, or festivals (e.g., Holi, Diwali, Christmas, New Year), hotels/resorts may have a separate cancellation policy, which will be communicated as required.

Liabilities & Limitations:
After you finalize the tour/service cost, any increase in permit fees, taxes, fuel costs, or guide charges as decided by the Government of India will be charged extra.
In case of force majeure events (strikes, fairs, festivals, weather conditions, traffic problems, overbooking of hotels, closures or entry restrictions at places of visit, etc.), we will try to make suitable alternate arrangements, but we cannot be held liable for refunds or compensation claims arising from such events.

Dispute Resolution:
Any disputes will be subject to the exclusive jurisdiction of courts in New Delhi.

Taxes & Fees:
Travelers agree to pay all applicable statutory taxes, surcharges, and fees.
Booking Confirmation & Vouchers:
Customers are requested to wait a minimum of 24 hours for booking confirmation. Booking vouchers will be sent via email, WhatsApp, SMS, or hard copy.

Itinerary Information:
The itinerary provided on the website is a standard itinerary, showing the activities included in your trip. Please check inclusions and exclusions to know what is included in your package. Additional services can be requested through customer care for an extra payment.

Passenger Age Accuracy:
Please ensure that the correct age of passengers is entered at the time of booking. Incorrect age information may result in penalties at the time of travel.

Safari Zones:
Safari zones are subject to availability. We cannot guarantee any specific zone or area, and zones may be changed according to operational requirements. Customers cannot claim a specific zone.

Liability:
The company is not responsible for accidents, loss, theft, or damage to luggage.

Payments & Advance Forfeiture:
If the customer fails to make the balance payment or any dues, the advance payment will be forfeited, and services will be discontinued.

Itinerary & Safari Changes:
We reserve the right to modify the itinerary or safari arrangements due to operational or other circumstances.

Peak Season Rates:
The rates mentioned are not valid for long weekends or festivals such as New Year, Christmas, etc.

Cancellation Processing:
Please note that the tour date is not counted when processing cancellations.
